Dear Lake Ridge Band Parents:

 

The Lake Ridge Eagle Band Boosters program needs your help in our mission to assist the band Directors in the development of an outstanding band program.  We are scheduling our first golf tournament to support the Lake Ridge Eagle Band on May 22nd.  The Lake Ridge Band Boosters seeks your support in leading or assisting with one or more of the committees to make this tournament a success.

Below please find details of the volunteer committee opportunities for the Lake Ridge Eagles Band Boosters 2021 Golf Tournament, which will be held at Mansfield National Golf Course on May 22nd. We have also included a brief synopsis about the committees and expected level of commitment.

Tournament Committee – Responsible for the overall success of the golf tournament.  Should finalize the format (rules) of the tournament and date and time.  Communicate frequently and effectively with each of the committees.  Should be available during the event to make sure teams are not in violation of the tournament or USGA rules.  Coordinate awards ceremony in-person or virtual as allowed by current Covid restrictions.  Will need to be available before, during and after the event.  Meet at least every two weeks to review sponsorships, golfers, and information from each committee.  Should meet weekly beginning 30 days before the event.

            Volunteers (4 volunteers):

Marketing and Promotion / Website – Responsible for coordinating promotion materials, templates and timing to solicit golfers and sponsors.  Will serve as point of contact for Sponsors both before and during the event.  Responsible for ensuring the website is up to date and has accurate information.  Will need to be available before and partially during the event.  Should meet monthly until 1 month before the tournament and then should meet weekly.

            Chairperson:

            Volunteers (4 volunteers):

Reception, Food and Beverage – Responsible for coordinating food and beverage for the event.  Work closely with the meal sponsor to make sure a headcount is submitted for food and beverage items.  Set up food and beverage distribution during the event.  Arrive at least 2 hours before the event.  Make sure that the Food and beverage sponsor is prominently displayed during meal distribution.  Ensure that clean-up of food and beverage area is complete at the end of the event.  Well need to be available before the event and shortly before the end of the event.  Should meet monthly and then weekly two weeks before the event.

            Chairperson:

            Volunteers (4 volunteers):

Signs / Banners – Responsible for coordinating signs and banners before and during the event. Ensure that all sponsors have signs and/or banners as required by their sponsorship.  Should meet at least three times prior to the event. Arrive at least 2 hours before the event to ensure that all signs and banners are in place when golfers begin arriving.   Will need to be available before the event, but not during the event.  Should meet monthly.

            Volunteers (2 – 4 volunteers):

Contests and Prizes – Responsible for securing and awarding prizes for tournament winners (1st and 2nd place overall) and for other mini-games (Hole-In-One, Shootout, Longest Drive, Closest to the Pin, Raffle).  Finalize and communicate rules for mini-games.  Should be available during the event to validate tournament and mini-game winners.  Ensure that all rules are followed to receive prizes for hole-in-one and shootout winners.  Will need to be available shortly before the event begins and during and after the event.  This committee should meet monthly up to 30 days before the event and weekly thereafter.

            Volunteers (2 – 4 volunteers):

Mulligans, Strings, Raffle – Responsible for promoting and collecting funds for Mulligans, Strings, and Raffle during the event.  Should arrive 1 and a half hours before the event and set up socially distant registration for these items.  Will be responsible for collection and verification of funds.  Will ensure that golfers are aware of how to properly use mulligans and strings.  Will need to be available before the event and shortly after it begins.  Should meet twice leading up to the event.

            Chairperson:

            Volunteers (2 volunteers):

Registration – Responsible for greeting and registering golfers as they arrive.  Provide direction to golfers to the practice facilities as well as to their cart and designated starting hole.  Should arrive 1 and a half hours before the event to set-up and be prepared.  Will need to be available before the event and shortly after the event begins.  Should meet twice prior to the event.
